Executive Administrative Assistant (VP Support)
Pay Rate: $31–$33/hour
Duration: 6-Month Contract (Temp-to-Hire)
Location: Worcester, MA 01604 (Hybrid: Onsite Mon–Thurs, WFH Fridays)
About the Role
We are seeking a highly skilled Executive Administrative Assistant to provide advanced administrative support to VP-level leadership. This role is essential in keeping executives organized, prepared, and focused by managing complex schedules, coordinating priorities, and handling sensitive and confidential information with professionalism and discretion.
The ideal candidate is proactive, detail-oriented, and experienced in supporting senior leadership in a fast-paced corporate environment.
Key Responsibilities
- Provide high-level administrative support to VP-level executives, including backup coverage as needed
- Manage complex executive calendars, email, priorities, and daily scheduling needs
- Coordinate domestic and international travel arrangements and itineraries
- Proactively identify and resolve scheduling conflicts
- Track action items from meetings and communications
- Coordinate with other executive assistants on cross-functional priorities
- Handle confidential and business-sensitive information appropriately
- Maintain departmental files in compliance with corporate and legal requirements
- Prepare expense reports, invoices, and supporting documentation
- Coordinate meetings, agendas, materials, and logistics
- Support virtual meetings (Teams, Zoom, video conferencing platforms)
- Assist with onboarding coordination and office setup for new hires
- Manage supplies, shipments, correspondence, and general office needs
- Support vendor onboarding, budget tracking, and administrative projects
- Provide occasional after-hours support for urgent travel or scheduling issues
Qualifications
- Experience providing executive-level administrative support (VP-level preferred)
- Strong background managing complex calendars and travel coordination
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with expense reporting and corporate travel tools
- Strong written and verbal communication skills
- Ability to work independently with minimal supervision
- High level of professionalism, discretion, and accountability
