Overview:
This role will report directly to the Manager, DSD Vistex Agreements. The DSD Vistex Agreement Specialist is responsible for the accurate setup, maintenance, and reconciliation of Direct Store Delivery (DSD) customer trade agreements within Vistex. This role plays a critical part in ensuring trade spend is properly accrued, monitored, and reported in accordance with company policy, SOX controls, and financial close requirements.
 
The Specialist partners closely with Sales, Revenue Growth Management (RGM), and Finance to ensure agreements are complete, timely, and accurate minimizing Out of Period Adjustments (OPAs) and supporting reliable financial reporting. This position requires strong attention to detail, system proficiency, and ownership of assigned agreements from setup through closure. The Specialist will also be responsible for managing the team inbox, and routing requests to applicable team members.
 
Responsibilities:
Trade Agreement Setup, Maintenance, & Settlements:
  • Create, review, and maintain DSD trade agreements in Vistex based on inputs from POP and OEC, ensuring accurate rates, dates, funding, and package details.
  • Validate agreement completeness prior to initiation to prevent missed accruals and downstream billing issues.
  • Reviewing outstanding balances from customers to reconcile to trade agreements when assistance is needed from deductions team.
  • Support the Vistex settlement process by posting calculation runs which post trade expenses against the applicable Vistex agreement.
  • Manage the team inbox, ensuring timely responses and proper tracking of agreement related requests.
  • Reconciliation & Accuracy:
  • Reconcile agreements between POP, OEC, and Vistex; research and resolve variances to ensure accurate trade accruals.
  • Review backup documentation, rates, and promotional details to confirm agreement accuracy and compliance.
  • Reporting & Close Support:
  • Support DSD trade reporting processes for financial close including Pre Close, Day 2, Day 5, and ad hoc reporting.
  • Reviewing the No Activity report vs actual sales and trends to ensure agreements are properly flowing through Vistex system.
  • Identify and escalate out of tolerance agreements, missing setups, or late notifications that may result in OPAs.
  • Partner with leadership to provide data and explanations related to trade accrual variances and trends.
 
Qualifications
  • Bachelor’s degree in business, Accounting, Finance, Economics, or related field preferred
  • Computer literate with strong knowledge of Excel; Experience with SAP and / or Vistex a plus
  • Preferred 1 year of business experience in a Client industry (beverage industry preferred) with knowledge in one or more of the following areas: Trade spending (planned vs. actual), Trade payments (checks/deductions), or Finance support for Sales
