Vendor Management Specialist

The Fountain Group is currently seeking a Vendor Management Specialist for a prominent client of ours.  This position is remote (local to 60064). Details for the position are as follows:

Vendor Management Specialist (Vendor Onboarding) – W2 Contract
Location: Remote (Optional onsite at local office)
Duration: 12-month contract with potential to extend or convert based on performance and budget
Pay Rate: $40–$48/hour (W2)

Overview
We are seeking a highly organized and communication-driven Vendor Management Specialist to support the end-to-end lifecycle of third-party vendors, with a strong emphasis on vendor onboarding. This role involves working across multiple departments and managing a high volume of detailed documentation, ensuring vendors meet all internal quality and compliance requirements.
This is an excellent opportunity for someone who thrives in a fast-paced, process-heavy environment and is comfortable navigating complex forms and stakeholder communication at all levels, including senior leadership.
Important Notes
  • Role is remote, but candidates may choose to work onsite at a local office
  • Equipment must be picked up onsite (laptop cannot be shipped)
  • Focus is on non-product vendors (no direct consumer impact)
  • Heavy documentation environment, including extensive quality questionnaires (up to ~25 pages, 40 questions per page)

Key Responsibilities
Vendor Onboarding
  • Manage the onboarding process for new vendors from initiation through activation
  • Coordinate collection and review of required documentation (compliance forms, tax forms, insurance, etc.)
  • Guide vendors and internal stakeholders through complex onboarding requirements
  • Support completion of large-scale quality questionnaires required by internal quality teams
  • Partner with Quality and IT teams to ensure documentation is reviewed and approved
  • Maintain accurate vendor records and ensure compliance with internal policies
Vendor Offboarding
  • Coordinate structured offboarding activities, including documentation and account closure
  • Ensure completion of contractual and operational requirements
  • Partner with internal teams to revoke access and finalize vendor records
  • Assist with financial reconciliation and outstanding items
Vendor Lifecycle Management
  • Maintain vendor data and documentation repositories
  • Track onboarding progress, compliance status, and deadlines
  • Support audits and reporting needs
  • Identify process improvements to enhance efficiency and reduce risk

Top Skills Required
  • Exceptional communication skills (must be comfortable working with VP and Director-level stakeholders)
  • Strong professionalism and ability to manage high-visibility interactions
  • Proven ability to handle large volumes of detailed documentation

Required Qualifications
  • Bachelor’s degree required
  • 2–5 years of experience in:
    • Vendor management
    • Vendor onboarding
    • Procurement or third-party risk management
  • Demonstrated experience in communication-heavy roles with cross-functional stakeholders
  • Experience working in documentation-heavy environments

Preferred Background
  • Experience in industries with heavy documentation requirements (e.g., mortgage, financial services, regulated environments)
  • Familiarity with vendor management or ERP systems (SAP, Oracle, Coupa, etc.)
  • Experience supporting compliance or quality-driven processes
