Administrative Assistant - Senior

The Fountain Group is currently seeking an  Administrative Assistant for a prominent client of ours. This position is located in     Framingham, MA.   Details for the position are as follows:

 

Administrative Assistant (Legal Team Support) 

  • Duration: 6 Months (LOA Coverage)
  • Schedule: 36.25 hours per week
  • Work Arrangement: Hybrid – 2 days onsite (team is flexible on which 2 days to support mail rotation)
  • Pay Rate: $25.60 – $35.20 per hour
Position Overview: We are seeking an experienced Administrative Assistant to provide high-level support to the VP of Labor & Employment Legal and two Associate Vice Presidents. This role will support a leave of absence (LOA) and requires a seasoned professional who is comfortable working in a fast-paced legal environment handling confidential and complex matters.

Major Areas of Responsibility
  • Provide diversified administrative support to the VP of Labor & Employment Legal and two AVPs
  • Manage and maintain multiple calendars, appointments, and meetings
  • Respond to inquiries, research information, and interface with internal and external stakeholders on complex and confidential matters
  • Involve appropriate associates from other departments to resolve issues
  • Process settlement check requests
  • Organize and maintain files, records, and matter management systems
  • Coordinate and organize meetings (catering, room bookings, logistics, follow-up)
  • Manage and administer documents and spreadsheets
  • Act as proxy for certain internal systems as needed
  • Support department mail rotation, including opening and scanning mail
  • Assist with meeting, training, and conference preparation and logistics
  • Coordinate travel arrangements and process expense reports
  • Provide additional administrative support to the Legal Team as needed
Required Qualifications
  • 2-3+ years of administrative assistant experience
  • Excellent written and verbal communication skills
  • Strong interpersonal skills and ability to manage confidential information
  • Demonstrated diligence, attention to detail, and follow-through
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
Preferred Qualifications
  •  Legal office experience strongly preferred (legal admin/legal assistant)
  • Associate’s degree or equivalent certificate program preferred
  • Experience with legal, matter management, and document management systems
