Role Overview
We are seeking a highly organized and strategically-minded Media Business Operations professional to serve as the central operational hub for our global media team. This role is critical in ensuring flawless execution of all business operations, including workflow governance, financial oversight, compliance coordination, and program management for large-scale media initiatives.
The ideal candidate will bring strong media experience, B2B expertise, and 8+ years in program management, chief of staff, or central operations roles within high-growth environments.
Key Responsibilities
1. Operational Business Rhythms & Cadence
  • Design, document, and manage end-to-end workflows for critical business processes, including annual/quarterly media planning, creative briefings, weekly campaign meetings, and executive reviews.
  • Own and maintain the master operational calendar, ensuring timely delivery of all assets and approvals across teams and agencies.
  • Synthesize operational reports, financial summaries, and strategic updates for executive leadership.
2. Workflow Governance & Tooling
  • Serve as the Asana subject matter expert: implement standardized campaign and project workflows, templates, dashboards, and adoption strategies.
  • Identify workflow bottlenecks and implement scalable solutions to improve efficiency and time-to-market.
  • Centralize media documentation including contracts, planning templates, and final reports with version control.
3. Financial & Legal Oversight
  • Liaise with Finance to manage budgets, POs, invoicing, and reconciliations with vendors/agencies.
  • Partner with Legal and Procurement to manage vendor contracts, media compliance, and regulatory adherence.
  • Proactively identify operational risks and track mitigation plans.
4. Strategic Enablement & Team Capacity
  • Standardize KPIs and reporting templates in partnership with Analytics and Data Science teams.
  • Develop operations manuals and conduct onboarding for new hires and agency partners.
  • Lead change initiatives, ensuring clear communication of operational improvements and benefits across teams.

Required Qualifications
  • 8+ years in Program Management, Chief of Staff, or Central Operations roles within B2B media or marketing environments.
  • Strong media background and experience managing programs for large organizations.
  • Deep expertise in Asana for workflow design, dashboards, and team-wide adoption.
  • Exceptional project management skills, able to manage multiple concurrent projects under tight deadlines.
  • Excellent written and verbal communication, with experience influencing cross-functional stakeholders without direct authority.
  • Strong financial tracking, budget management, and procurement skills.
  • Experience with data visualization tools (Tableau, Power BI) is a plus, but not required.
