This role is not just about setting up projects, but about driving change management: facilitating discovery with stakeholders, creating intuitive workflows, training teams, and ensuring a smooth handoff so each group can independently manage their systems moving forward.
Responsibilities
- Partner with Integrated Marketing leadership and end users to gather requirements, design workflows, and configure Jira projects and Confluence spaces tailored to team needs.
- Facilitate tool adoption and enablement by creating documentation, playbooks, and best practices, and by leading training sessions, office hours, and stakeholder workshops.
- Build Jira projects with custom workflows, dashboards, automations, and reporting structures, ensuring usability and scalability for marketing teams.
- Establish Confluence spaces for knowledge sharing, process documentation, and project tracking to support long-term team operations.
- Develop reusable templates, playbooks, or toolkits that make it easy for other teams to replicate successful setups.
- Act as a trusted advisor and change agent, guiding teams through the transition to Jira/Confluence while promoting best practices and consistent usage.
- Oversee the handoff of projects and trackers to marketing teams, ensuring they are enabled to manage and evolve the tools independently.
- Identify opportunities to streamline workflows and recommend apps, plugins, or integrations that enhance efficiency and collaboration.
- Provide leadership with reports, project summaries, dashboards, and other visualizations that surface insight into dependencies, risks, and progress.
- Champion consistent use of Jira/Confluence across teams by sharing success stories and standardizing best practices.
Requirements
- Proven ability to partner with and present to Director+ leadership, translating complex operational needs into clear recommendations and solutions.
- Demonstrated experience conducting end-user discovery sessions to understand internal customer needs and designing Jira workflows and Confluence spaces that enable efficiency and adoption.
- Strong expertise in Jira and Confluence, including building custom workflows, leveraging integrations, and developing scalable structures that support cross-functional collaboration.
- Experience in developing, documenting, and enabling operational processes for marketing or go-to-market teams, with an emphasis on change management and adoption.
- Track record of building systems and frameworks that are successfully transitioned to new owners, ensuring long-term sustainability and self-sufficiency.
- Excellent communication, facilitation, and training skills, with the ability to influence and support stakeholders at all levels of the organization.
- Comfort and adaptability working in a matrixed environment with multiple stakeholders, balancing competing priorities, and bringing structure to ambiguity.
Preferred Qualifications:
- Experience working in software-as-a-service (SaaS) organizations
- Familiarity with marketing operations workflows (e.g., campaign planning, product launches, content production, comms calendars) to design relevant Jira/Confluence solutions.
- Exposure to Agile, Scrum, or Kanban methodologies, with the ability to translate them into practical, tool-enabled workflows for non-technical teams.
- Project management or change management certifications
