Job Title: Operations Support Specialist
Pay: $20–$25/hour (based on experience)
Duration: 6 months (potential to extend or convert)
Location: Onsite – Waukegan, IL 60085
Position Purpose
Provide support to the department utilizing multiple software platforms, including MAXIMO, Cognos, SAP, and KRONOS, to ensure accurate record entry and maintenance. This role also provides front-line audit support, administrative assistance to Section Managers and Directors, and coordination of departmental operations and events.
Key Responsibilities
- Serve as MAXIMO super user; write, monitor, and complete service requests while maintaining asset data integrity.
- Develop and maintain job plans and preventive maintenance schedules per MEP guidelines.
- Build and monitor Cognos queries for EHS, Quality, AP16 Maintenance, Corporate Maintenance, Engineering, and Production.
- Deliver MAXIMO training sessions for multiple departments as a qualified trainer.
- Manage AP16 fork truck lease and maintenance program.
- Write, monitor, review, and close MAXIMO work orders for multiple departments.
- Provide financial tracking and support for capital projects and departmental requests; initiate purchase orders through SRM and MAXIMO.
- Create and monitor DSP requests for SAP system and vendor updates.
- Provide general administrative support to managers; back up Director-level management as needed.
- Oversee new employee onboarding and office set-ups; coordinate events, meetings, travel, and teleconferences; process expense reports; track hours, overtime, and vacation schedules.
Additional Duties
- SRM/SAP: Request supplier quotes, submit and reconcile POs (materials and services), approve/reject services, and manage yearly PO requests (equipment depot, Cintas uniforms, first aid).
- Cognos: Run weekly metric reports (KPI, break-ins, labor, PM on-time).
- Compliance Wire: Submit JSTM to lead trainer and maintain training files.
- Administrative Support: Request uniforms for new hires, order office supplies, create yearly calendars, order bereavement/recognition items, maintain department display board, and schedule/organize monthly communication and culture meetings.
Qualifications
- High school diploma or equivalent; some college preferred.
- Experience with MAXIMO or SAP experience.
- Aadministrative/operations support experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook), Office 365, Visio, OneNote, Teams.
