Admin Specialist and Receptionist II

My name is Neelam, and I am a Recruiter with The Fountain Group. We are a national staffing firm and are currently seeking an Admin Specialist and Receptionist for a prominent client of ours. This position is located in San Francisco, CA. Details for the position are as follows:
 
Job Description: 
  • Pay is $38-40/hr to Start.
  • 6-month assignment, possibility for extension or conversion based on performance and budget.
  • Monday – Friday 8:00am – 5:00pm (Fully Onsite)
  • Key Responsibilities:
  • Office Administration
    - Manage and maintain office supplies, and foods & drinks including purchase request, order, receiving, restocking and tracking expenses.
    - Maintain breakroom and common areas including meeting rooms for visitors organized and neat at all times.
    - Support corporate events including meal reservations, orders, purchases and organizing catering for culture and morale.
    - Escort contractors for facility maintenance in office premises if needed.
    - In charge of shipping and receiving including log, expense tracking, report and distributing to receivers.
    - Support on-boarding and off-boarding.
    - Maintain employees monthly parking and validations on a monthly and daily basis by communicating with vendors and employees.
    - Ad hoc tasks to support the office.
  • Security Management, Reception Desk, Visitor Control
    - Welcome clients and visitors at the reception desk by greeting them with a positive attitude and handling necessary inquiries.
    - Work to register all visitors when advised and control.
    - Control visitors to the correct location and provide security instructions.
    - Ensure that security guards are properly trained.
    - Maintain safe and clean reception area and conference rooms.
    - Maintain security facility and equipment for day-to-day operations (CCTV, alarm system, badging etc)
    - Manage security standards including daily visitor log, monthly logbook, badge list, Wi-Fi and parking validations, if needed.

     
Qualifications: 
  • Associate’s degree is Required.
  • MS Office skills – intermediate Excel skills is Required.
  • At least 2-5 years of experience in office administration is Required.
