Job Description:
We are currently seeking a dynamic, highly motivated, and experienced Meeting Planner to support Commercial Learning + Development (CL+D) initiatives for a leading pharmaceutical organization.
This role is responsible for planning and executing US Commercial training programs including, but not limited to, New Hire Training, Leadership Development, and Emerging Leader Training across all therapeutic areas and business units.
You will collaborate closely with cross-functional teams and vendors to ensure seamless program execution, contributing to the professional growth and readiness of commercial teams.
Essential Duties & Responsibilities:
- Lead the planning and logistical execution of internal training programs across therapeutic areas.
- Manage ad hoc training events and program requests in alignment with business needs.
- Coordinate with stakeholders, Learning Operations, and external vendors to align on program vision and execution.
- Execute RFPs, venue sourcing, and evaluate service providers for optimal cost and quality.
- Negotiate and manage contracts with hotels, venues, caterers, and production vendors.
- Oversee food & beverage logistics, AV needs, and all production elements for events.
- Develop project timelines and manage program action plans.
- Produce pre-event communications, on-site materials, and post-event reporting.
- Handle attendee registration, travel coordination, rooming lists, and name badge creation.
- Lead planning meetings with internal stakeholders and cross-functional teams.
- Own and manage program budgets, including purchase orders, invoice tracking, and reconciliations.
- Ensure vendor compliance with timelines, deliverables, and budgetary constraints.
- Document and refine standard operating procedures (SOPs) to enhance efficiency.
- Mentor junior team members as needed in areas of planning, logistics, and execution.
- Contribute to broader strategic CL+D projects as assigned.
Required Knowledge & Skills:
- Extensive knowledge of program/event planning principles and industry standards.
- Strong project management, organizational, and vendor negotiation skills.
- Ability to think strategically, operate independently, and problem-solve under pressure.
- Exceptional interpersonal and communication skills across diverse stakeholder groups.
- Proficiency with Microsoft Office and comfort using digital collaboration tools.
- Proven ability to manage multiple priorities in a fast-paced, dynamic environment.
- Comfortable influencing decisions and driving outcomes without direct authority.
Basic Qualifications:
- Minimum 5 years experience in meeting planning, training program execution, or learning and development
- Certified Meeting Professional (CMP) certification highly desired
Preferred Qualifications:
- Degree in Project Management, Hospitality & Tourism, or related field
- Experience working in biotech/pharmaceutical or healthcare training environments
- Familiarity with training technologies and digital platforms
- Self-starter with a solution-oriented mindset
- Ability to work flexible hours or travel as needed (especially if remote but Bay Area-based)
