We are a national staffing firm and are currently seeking an Administrative Assistant for a prominent client of ours. This position is based in San Dimas, CA. Details for the position are as follows:
Job Description:
- Pay: $30–$37/hr to start
- Schedule: 40 hours per week | Onsite
- Assignment: 6-month contract with the possibility of extension based on performance and budget
Key Responsibilities
- Administrative & Operational Support:
Provide comprehensive administrative assistance, including managing schedules, coordinating travel and logistics, maintaining and updating shared files, preparing corporate documents using Microsoft Office (Word, PowerPoint, Excel), processing expense reports, and handling tasks such as compiling reports, managing org charts, supporting budget cycles, and assisting with SharePoint. - Communication & Coordination:
Answer and triage phone calls for the intake team, manage shared email accounts, coordinate and schedule interviews in support of HR and hiring managers, greet candidates, manage multiple Outlook calendars, and support meeting/event planning, including drafting agendas and recording meeting minutes. - Meeting & Presentation Preparation:
Prepare materials and presentations for meetings, set up meeting rooms, and provide logistical support for department meetings and events.
Qualifications
- Education:
Bachelor’s degree or equivalent experience required - Experience:
- Minimum 5+ years of administrative experience supporting Executive Director or Vice President-level leadership required
- Proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint, and Outlook required
- Experience with Concur (travel and expense system) preferred
- Background in the pharmaceutical, biotech, or manufacturing industries preferred
