We are a national staffing firm and are currently seeking an Administrative Assistant for a prominent client of ours. This position is located in Foster City, CA. Details for the position are as follows:
Pay Rate: $39–$42/hour
Schedule: Full-time, Monday–Friday
Location: Foster City, CA
Contract Duration: 7 months with potential to extend or convert
Position Summary:
We are seeking an experienced and highly organized Administrative Assistant to support multiple teams and manage complex, time-sensitive projects. The ideal candidate is an effective communicator, a proactive problem solver, and comfortable working independently in a fast-paced environment.
Key Responsibilities:
- Manage and prioritize a diverse workload across multiple high-impact projects and deadlines.
- Coordinate and/or lead the implementation of new or updated software applications and databases, including vendor coordination and user training.
- Use advanced software tools (Excel, PowerPoint, Filemaker Pro, Access, ChemDraw) to create graphs, spreadsheets, reports, and presentations.
- Draft, proofread, and edit reports, documents, and presentations using raw data and online research.
- Align daily administrative workflows with broader departmental goals and initiatives.
- Organize large-scale events, handling logistics such as travel, accommodations, expense reports, and presentation materials.
- Assist with the preparation of the annual budget, review monthly budgets, and investigate variances.
- May coordinate lease car activities (international) and assist with office space planning and setup.
- Prioritize and manage incoming mail and email for management as needed.
- Support the onboarding of new administrative staff and serve as a resource to other team members.
- Cross-train and provide coverage for other administrative assistants during extended absences.
Education & Experience:
- High school diploma (required); additional education is a plus
- 3–5+ years of relevant administrative experience
- Strong understanding of office policies, workflows, and document formatting
Preferred (Nice to Have) Skills:
- Proficiency in Microsoft Office Suite
- Tech savvy with the ability to quickly learn new tools
- Familiarity with Concur or similar tools for travel and expense management
- Previous experience supporting cross-functional teams in a regulated or corporate environment
