We are seeking a highly organized and proactive Executive Administrative Assistant to support the Head of Health Equity & Clinical Innovation in Drug Development. This critical role will enable operational excellence and strategic alignment by ensuring seamless administrative support during a high-growth period for the function. The ideal candidate is an independent self-starter with exceptional communication, discretion, and time management skills—ready to step into a fast-paced environment and contribute from day one.
Key Responsibilities
Executive Support
· Provide high-level administrative support to the Head of Health Equity & Clinical Innovation
· Manage complex calendar scheduling and coordination of internal and external meetings
· Organize domestic travel logistics, including transportation, lodging, and itineraries
· Process expense reports and reimbursement submissions in compliance with company policy
· Prioritize, flag, and help manage critical email and scheduling follow-ups
Team & Stakeholder Support
· Coordinate scheduling and logistics for internal team meetings, including drafting and distributing agendas, pre-reads, and key updates
· Build strong working relationships across cross-functional teams and with external stakeholders
· Serve as a central point of contact for internal partners, external collaborators, and vendors
· Support onboarding of new hires and contractors by helping prepare agendas, materials, and orientation logistics
· Monitor team communications and deadlines to anticipate and proactively address administrative needs
