Job Title: Contracts Specialist
Pay: $37-$39/hr (based on experience)
Location: Mettawa, IL
Schedule: 8:30 AM – 5:00 PM, Hybrid (Onsite Tuesdays, Wednesdays, and Thursdays)
Contract Length: 12 Months (potential to extend or convert)
The Contracts Coordinator II is responsible for the efficient drafting, negotiation, and execution of consulting and promotional speaker contracts. This role supports cross-functional business initiatives and ensures contract activities are conducted with accuracy, integrity, and in compliance with all relevant regulations. A key focus of the position includes working directly with healthcare professionals (HCPs), non-HCPs, and patients to support service agreements and maintain positive relationships.
Key Responsibilities:
- Draft, review, and execute contracts related to consulting services and promotional speaker engagements.
- Collaborate directly with healthcare professionals (HCPs), non-HCPs, advocacy leaders, and institutions on contract execution and issue resolution.
- Interpret regulatory guidelines and ensure contracts meet legal, compliance, and policy requirements (e.g., FDA, PhRMA).
- Maintain detailed and organized contract documentation in accordance with internal procedures.
- Identify and implement improvements to standardize and streamline contract processes.
- Liaise with internal stakeholders including Legal, Compliance, Medical Affairs, R&D, and Commercial Operations.
- Serve as a resource for stakeholders with contract-related questions or issues, ensuring timely and accurate support.
- Utilize procurement and contract management systems such as SAP or other relevant platforms.
- Manage multiple contracts, priorities, and deadlines in a high-volume, fast-paced environment.
- Participate in cross-functional initiatives and communicate best practices across teams.

Qualifications:
Required:
- Bachelor’s degree preferred; equivalent work experience accepted. Paralegal certification is a plus.
- 3–5 years of experience working in contracts, with a strong preference for roles involving HCP interaction.
- Experience in contract negotiation, lifecycle management, and regulatory compliance.
- Demonstrated ability to manage standard contracts independently.
- Proficiency in Microsoft Office tools (Word, Excel, PowerPoint).
- Strong interpersonal skills and the ability to build effective relationships with both internal teams and external stakeholders such as HCPs and institutions.
Preferred/Nice to Have:
- Experience in speaker or consulting contracts within a regulated industry.
- Familiarity with healthcare compliance standards and industry codes of conduct.
- Demonstrated success in managing contract operations with high volume and tight deadlines.
- Experience may be considered in place of formal education requirements.
