Position Summary:

A leading organization in the healthcare sector is seeking a detail-oriented and experienced Meeting Planner to manage all aspects of planning and executing medical education programs. This role will work closely with internal stakeholders to deliver high-quality, compliant, and customer-focused events. Ideal candidates will have a strong background in event logistics, excellent communication skills, and experience in the medical or healthcare industry.


Key Responsibilities:

Event Planning & Management

  • Plan and execute Medical Education programs, Advisory Boards, and Innovation Councils.
  • Oversee end-to-end logistics: site selection, venue sourcing, contract negotiation, production/AV, ground transportation, F&B, registration, and onsite support.
  • Prepare and manage event budgets; handle reconciliation and expense reporting.
  • Coordinate logistics for meetings with 40–100 attendees.
  • Maintain relationships with hotels, AV vendors, and other key partners.
  • Ensure all activities comply with regulations and company policies regarding interactions with Healthcare Providers (HCPs).
  • Troubleshoot issues onsite and ensure smooth execution.

Compliance & Reporting

  • Manage regulatory reporting, including Open Payments and other disclosures.
  • Maintain full compliance with all relevant laws, codes of conduct, and internal policies.

Additional Duties

  • Monitor industry trends and propose creative, effective improvements to event planning processes.
  • Perform other duties within the scope of the role, as assigned.


Qualifications:

  • Bachelor’s Degree (Required)
  • 2–4 years of experience in event or meeting planning (medical/healthcare industry preferred)
  • Experience with Cvent and/or CERTAIN event management software (Preferred)
  • Strong understanding of event logistics, budgeting, and compliance protocols
