Marketing Operations Specialist – MLR/PromoMats (Onsite in Alameda, CA)

We’re looking for a detail-oriented Marketing Operations Specialist with strong experience in Veeva PromoMats and MLR coordination to support our client’s U.S. Marketing team within the Diabetes Care division. This role is ideal for someone who excels at project coordination and compliance over creative marketing—think data entry, tracking, and process management.
Key Responsibilities:
- Coordinate and manage the MLR (Medical, Legal, Regulatory) review process for promotional, educational, and training materials
- Track submission timelines and approval progress in Veeva PromoMats
- Serve as the point of contact for marketers and agency partners submitting materials
- Ensure promotional content is compliant, accurate, and meets regulatory and legal standards
- Facilitate training and process adoption across internal and external stakeholders
- Identify bottlenecks and streamline workflows for efficiency
- Provide status updates and reporting to leadership
Requirements:
- Hands-on experience with Veeva PromoMats (must-have)
- Familiarity with MLR processes in the medical device, biotech, or pharma space
- Exceptional organizational and project management skills
- Strong attention to detail with a proactive mindset
- Excellent communication skills for cross-functional collaboration
- Experience with Adobe AEM and/or Workfront is a plus
